Practical guides for collecting client documents
Checklists, email templates and workflows to make your next document request clearer.

To request documents from a client, send a short email that names each required item, identifies the relevant period, gives an agreed submission date and links to one upload destination. Tell the client how to report an unavailable item. Before following up, check what has already arrived and request only the outstanding documents.

A monthly bookkeeping document checklist should identify the statements, sales records, expense evidence and other reports needed for a specific client and period. Request only what the engagement requires, name each account separately, and explain what counts as a complete upload. Track receipt separately from the bookkeeper’s review of the contents.

Before a website project starts, collect the business facts, brand references, page content and images needed for the first agreed milestone. Name an owner and a completion condition for each item. Separate files from account access and approval decisions, so a folder full of uploads is not mistaken for a project ready to begin.
